Board Member Role Descriptions

President / Co-Presidents

The President (or Co-Presidents) helps guide the overall work of the PTO and keeps everything moving smoothly. This role leads meetings, supports committee chairs, signs contracts and key documents, and helps coordinate the work of officers and committees. Presidents also appoint special committees and make sure PTO efforts align with the needs of the school and community.

Vice President – Administration

The VP of Administration focuses on people and logistics. This role coordinates room parents, organizes room parent materials, and plans the annual Room Parent gathering. They also help welcome new members, support committee recruitment, and step in to assist the President when needed.

Vice President – Fundraising

The VP of Fundraising oversees all PTO fundraising efforts from start to finish. This role supports fundraiser chairs, evaluates fundraising ideas, and works with the Board to decide how funds are reinvested back into Central and other community initiatives. They also help coordinate approved purchases with school staff and keep members informed about how funds are used.

Member-at-Large

The Member-at-Large is a flexible, supportive role that helps with some of the PTO’s most meaningful traditions. This position coordinates staff appreciation efforts, holiday collections, gifts and memorials, and helps organize the annual officer installation. The Member-at-Large may also assist with communications or step in for the Secretary when needed.

Secretary

The Secretary keeps the PTO organized and informed. This role records meeting minutes, maintains official records and bylaws, and helps ensure continuity from year to year by keeping accurate documentation of PTO decisions and activities.

Treasurer

The Treasurer manages the PTO’s finances and helps ensure funds are handled responsibly. This role tracks income and expenses, pays approved reimbursements, prepares financial reports for meetings, works with auditors, and oversees required tax filings. The Treasurer also maintains financial records and passes them along to future Treasurers.

Vice President – Communications

The VP of Communications helps keep the Central community informed and connected. This role oversees PTO communications such as newsletters, social media, and printed materials, and works with committees to ensure messaging is clear, timely, and consistent across all platforms.

Assistant Treasurer

The Assistant Treasurer supports the Treasurer with day-to-day financial tasks. This role helps collect and reconcile funds, prepares deposit documentation, assists with monthly reporting, and serves as a helpful second point of contact for financial procedures—without handling check writing or payments.

Parliamentarian

The Parliamentarian helps keep the PTO running smoothly by maintaining and reviewing the bylaws. Often filled by the prior year’s President, this role provides guidance on procedures, updates bylaws as needed, and serves as a resource to the Board on governance questions.
